How to authorise agents to act on your behalf

Authorising an agent, and giving access to your UK Internal Market Scheme (UKIMS) authorisation and Trader Goods Profile

Transcript of the narration, with the on-screen state at each step.

Opening

This video shows you how to authorise an agent, or another user, to act on your behalf in the Trader Support Service. We will call it TSS. These permissions do not carry across from the previous service, so if you had agents working for you before, you need to authorise them again. Only the account administrator can authorise this action.

Your business profile

On screen: Select View businesses who can represent you

Start from your business profile, and select View businesses who can represent you.

Step 1 - your agents

On screen: Select Add agent

This is your Agents page. It lists anyone already acting for you. This account has not authorised any agent yet. Select Add agent.

Step 2 - enter the agent’s EORI number

On screen: Enter the EORI number, then select Continue

You need the agent’s EORI number. Your agent must also already be registered with the Trader Support Service. Enter the number, then select Continue.

Step 3 - check the company

On screen: Check the name, then select Send invite

The service recognises the company and confirms the name back to you. Check it is the right one, then select Send invite.

Step 4 - confirm

On screen: Confirm that they can act on your behalf

Confirm that you are happy for them to act on your behalf.

Step 5 - agent authorised

On screen: They receive an email inviting them to act for you

The agent is now authorised. They receive an email inviting them to act for you, and they can do so once they have accepted the invitation.

Step 6 - what the agent sees

On screen: Your invitation is listed under Pending invitations

This is what the agent sees. When they sign in and go to their own business profile, your invitation is listed under Pending invitations, with the date it expires. They select Accept invite to allow them to represent you.

Step 7 - representing you

On screen: They select Start representing to work on your account

Once accepted, you appear under Traders that you can represent, and they select Start representing to work on your account.

Step 8 - UKIMS and Trader Goods Profile

On screen: These are granted separately from your business profile

Representation lets them view, edit and create declarations for you. On its own it does not give them access to your UK internal market scheme authorisation, or UKIMS, or to your Trader Goods Profile. Those are granted separately, from your business profile.

Step 9 - businesses that can use your UKIMS

On screen: Empty on this account, because it has no active UKIMS authorisation

If you do not give them access to your UKIMS authorisation, they will not see the option to raise the internal market movement information for you. This account has no active UKIMS authorisation, so the list here is empty.

Closing

The agent can now act for you. You can remove an authorised agent at any time from your business profile.
